QuickBooks Setup for Cleaning Companies

So most of the QuickBooks files I see weren't set up wrong on purpose. The owner opened the software the week the business started, clicked through the defaults, and got back to work, which was the right call at the time. The trouble is that a default setup ages, and three years later the file technically works but can't answer anything. Which side of the business makes money, what a contract costs to serve, why the bank never matches. Setting QuickBooks up for a cleaning company specifically is a different job than setting it up generically, and it's honestly the part of this work I enjoy most.

Setup vs rebuild

A fresh company gets a clean build. An existing file is a judgment call, and I'll tell you straight which side of the line you're on. Sometimes the bones are fine and it's a reorganization. Sometimes the history is tangled enough that the honest move is a clean cutover at a month-end, with the old file kept for reference. What I try not to do is heroically patch a structure that fights you, right, because you'll pay for that every month afterward.

Picking the right QuickBooks plan

Intuit will happily sell you more plan than you need, and part of my job is being the person in the room who says so. I've put clients on smaller plans than they came in asking about, just to keep their cost down, and moved them up later when the business actually called for it. The right plan is the cheapest one that does your job, and I'd rather tell you plainly when you've outgrown it than start you out overpaying.

The training half

Setup without training is how files drift back into mush, so I don't really separate them. Once the structure is in, I walk you through it on your own screen, the daily five minutes, the weekly look at who owes you, the monthly reports worth reading. My whole style is showing rather than telling, and I think owners are usually surprised how little of this they need to touch once it's wired up correctly. The point of the training isn't turning you into a bookkeeper. It's making sure the system never feels like a black box you're afraid to click on.
